Bettendorf Library Meeting Rooms FAQ

Can my group reserve a meeting room for the same time each month? Meeting rooms may be scheduled at 90-day intervals and up to 90 days in advance. The library cannot guarantee the same space/day/time for any group wanting to use our meeting spaces for recurring meetings.
May I bring snacks and coffee to our meeting? Yes! Food and beverages are welcome for personal use only. General clean-up after meeting of food, drink, or event materials within meeting rooms is the responsibility of the applicant and/or user. Alcoholic beverages are prohibited. The library does not assist with the coordination of catering/food delivery.
If I wanted to host a fundraiser in your space, can I charge admission or sell merchandise to raise money for our cause? No admission fees, charges, or sales of any kind of money exchanges can take place inside the library’s meeting rooms unless it is part of a library-sponsored event and pre-approved by the Library Director.
Can I put up signs to promote our event or indicate to attendees what room we’re meeting in? No, the library does not allow signage of any kind to be posted or displayed outside of the meeting spaces. The only exception is when the library is selected as a polling location during city, state, national, or special elections.
What happens if the library unexpectedly closes (inclement weather, facilities emergency, etc.)? As a public service institution, every effort is made to maintain regular hours of service to the public. If the library closes during an emergency, the library staff will make every effort to contact reservation holders to reschedule their meeting as soon as possible. If an emergency takes place during operating hours, meeting room users are expected to follow staff instructions for either sheltering in place or evacuating the building.
My club wants to hold an executive board meeting prior to our regular meeting. Can we lock the doors to prevent others from entering as we conduct our business meeting? With the exception of library staff meetings, all meetings in our public spaces are considered open to anyone in the public. Therefore, groups cannot bar or prevent others from entering the room at any time unless already at capacity. For safety reasons, all public meeting room doors must remain unlocked when in use.
